Trips2Africa Privacy Policy

At Trips2Africa, we value your trust. This Privacy Policy outlines the types of personal information we collect, how we use it, who we share it with, and the choices you have to manage your data. Whether you’re a traveler or a tour operator, your privacy and security are our top priority. Please take a moment to read through and understand how we protect your information as you explore the beauty of Africa with us.

Effective Date: June 19, 2025

Trips2Africa.com (“Trips To Africa Online”, “we”, “us” or “our”) is committed to protecting the privacy and personal data of all users of our travel booking platform. This Privacy Policy explains how we collect, use, share, and protect your information in accordance with applicable laws (including Kenya’s Data Protection Act 2019 and relevant international regulations). Trips To Africa Online is headquartered in Nairobi, Kenya (registered at Hoomao House, Baba Dogo, Outering Road, Nairobi). By using our website or services, you agree to the practices described below.

1. Information We Collect

We collect personal information from two main groups of users:

  • Tour Operators: When you register as a tour operator on Trips2Africa.com, we collect your full name, email address, phone number, company name, details of your operating license/registration with national tourism authorities, and banking or payment details (necessary to pay you for completed bookings). This information is used to verify your identity and credentials and to facilitate payment for services.
  • Travelers (Customers booking trips): When a traveler books a trip through Trips2Africa.com, we collect the traveler’s full name, email, phone number, and passport or identification details (required for travel documentation). If the booking is made directly on our platform, we also collect payment information (e.g. credit card details) to process the payment securely. All payment data is handled in encrypted form by our PCI-compliant payment processors. If a booking is made via a third-party travel agent’s website, Trips2Africa does not receive or store your payment details; the agent processes the payment, and we only receive booking confirmation information.

All data collected is limited to what is necessary to provide our services: to confirm and manage bookings, communicate with you, verify eligibility/licensing, and comply with legal obligations. We do not collect any sensitive personal data (e.g. health, religious, or biometrics) beyond what is needed for travel purposes.

To access and use our platform, users must create a personal account. When you register, we collect your email address and require you to set a secure password. You may provide additional optional profile information (such as your name and phone number) to personalize your experience. Account credentials are used to authenticate you and secure access to your booking data. You are responsible for maintaining the confidentiality of your login information.

We use cookies and similar tracking technologies on our website to improve functionality and user experience. As defined by industry standards, “cookies” are small pieces of text sent to your browser by a website you visit. They help that website remember information about your visit, which can make the site more useful to you. In practice, Trips2Africa.com uses cookies for purposes such as:

  • Essential Functionality: Enabling core site features (e.g. keeping you logged in as you navigate, remembering your language or country preferences).
  • Analytics: Collecting aggregate data on how users interact with our site (e.g. pages visited, time spent) to help us improve site performance and content. We use reputable analytics services (such as Google Analytics) that do not personally identify you.
  • Marketing and Advertising: If you consent, we may use cookies (or similar technologies like web beacons or pixel tags) to show you targeted advertisements or track the effectiveness of our marketing campaigns. For example, we may work with ad partners to display personalized travel offers to returning visitors. We will only provide personalized advertising if you have opted in, and you can opt out at any time (see Section 6 below).

You can control cookies through your browser settings. Most browsers allow you to reject or delete cookies; for example, you can refuse new cookies or set your browser to notify you when a cookie is set. If you disable cookies, certain features of the site may not function properly (e.g. you may need to log in more frequently or some content may not display). We also use secure technologies such as encrypted session cookies to protect your account information during your visit.

We use the personal information we collect for these main purposes: fulfilling travel bookings (processing reservations and payments), communicating with you about your account and trips (sending confirmations, itineraries, alerts), verifying tour operator credentials, improving our platform (analytics, fraud prevention, customer support), and sending you marketing communications if you have opted in. We do not use your data for any purposes other than those described here without your consent, unless required by law.

Trips To Africa Online serves customers and partners worldwide. We comply with applicable international privacy laws where relevant. For example, under the EU General Data Protection Regulation (GDPR), organizations outside the EU must protect the data of EU individuals if offering goods or services to them. We apply GDPR principles to EU customers, including lawful processing and rights information, and we ensure any cross-border data transfers are safeguarded. We also recognize other jurisdictions’ laws (such as California’s privacy laws). In general, Trips2Africa will only transfer personal data outside Kenya to locations with adequate data protection or under contractual safeguards. Where possible, we keep data on secure servers in Kenya or under encryption.

If you choose to receive our newsletters or promotional emails (for example, travel deals or company updates), Trips2Africa will send periodic email communications to the address you provided. In compliance with anti-spam regulations (such as the U.S. CAN-SPAM Act), every marketing email will include a clear explanation of how you can opt out of future messages. Typically, this is accomplished via an “unsubscribe” link at the bottom of the email. You may also opt out by contacting us directly or adjusting your marketing preferences in your account settings. We will honor all unsubscribe requests promptly (generally within 10 business days) and will not send further promotional emails once you have opted out. Note that transactional emails (e.g. booking confirmations) are still sent regardless of your marketing preferences, as they are necessary to provide our services.

Trips To Africa Online retains your personal data only for as long as necessary to fulfill the purposes for which it was collected. In practice, travel booking records and related data are retained for 30 days after the trip is completed. After this period, we securely delete or anonymize the booking information (unless a longer retention is needed for legal or accounting reasons). This approach follows data protection principles that personal data should not be kept longer than needed, and that data must be erased once its purpose has expired. You may also request deletion of your data at any time. Upon request, we will delete your personal data sooner than the standard retention period (unless we are legally required to keep certain information, e.g. for tax or audit purposes). To request deletion, please contact us (see Section 11 below).

You have rights regarding the personal data we hold about you. Under Kenyan law (Data Protection Act 2019) and other privacy regulations, these rights include:

  • Right to be informed: You can know how your data is used.
  • Right of access: You can request a copy of the personal data we hold about you.
  • Right to object: You can object to certain types of processing, such as direct marketing.
  • Right to correction: You can ask us to correct any inaccurate or incomplete personal data.
  • Right to deletion (erasure): You can request deletion of your personal data if it is no longer needed or if you withdraw consent, especially if the data is found to be inaccurate or unlawfully processed.

In addition, many jurisdictions (e.g. the EU) grant similar rights like data portability, withdrawal of consent, and restricting processing. Depending on your location, you may have the right to access, correct, delete, or transfer your personal information, or to withdraw consent for processing, at any time.

To exercise your rights or for any privacy-related requests (access, correction, deletion, opt-out of marketing, etc.), please contact our Data Protection Officer at the contact details below. We will verify your identity and respond to your request as required by law (typically within one month). If we are unable to comply with a request, we will explain why. You also have the right to lodge a complaint with the relevant data protection authority in your jurisdiction if you are not satisfied with our response.

Trips To Africa Online does not sell your personal information to unrelated third parties. However, we do share data with certain trusted third parties as necessary to provide our services, always under strict confidentiality agreements and security controls. Such sharing includes:

  • Payment Processors: When you pay for a booking on Trips2Africa, we transmit necessary payment details to secure, PCI-compliant payment processors (such as Stripe or PayPal). These processors handle the transaction and fraud-checking. They receive only the data needed to process payment (for example, your name, billing address, and credit card information). We ensure all payment partners implement strong security measures.
  • Tour Operators and Travel Service Providers: To fulfill your bookings, we share your travel details (name, contact, travel dates, passport info) with the relevant tour operator, lodge, or transport provider. We never share your full payment card details with them. Only the information needed to book the service is shared. Our tour operator partners are contractually bound to protect your data.
  • Marketing and Analytics Providers: With your consent, we may provide your email address to our email service provider to send newsletters, or share aggregated (non-personal) usage data with analytics services (e.g. Google Analytics) to improve our website. These service providers use your data only on our instructions and are required to keep it confidential.
  • Legal and Safety: We may disclose personal data when required by law (e.g. responding to a court order, law enforcement request, or to comply with regulations). We may also share information to prevent fraud or to protect the safety, rights, or property of Trips To Africa Online or others. Any such disclosures are done with legal oversight.

In every case, we require our partners and service providers to maintain privacy safeguards comparable to our own. For instance, all entities with whom we share your data are contractually obligated to use it only for the stated purpose and to protect it with industry-standard security.

Trips To Africa Online takes data security seriously. We use reasonable technical and organizational measures to protect your personal information from unauthorized access, disclosure, alteration, or destruction. For example, we store data on secure servers behind firewalls and use encryption where appropriate. Access to personal data is limited to authorized personnel who need it for their job. However, no internet transmission or electronic storage is completely 100% secure. While we strive to protect your data, we cannot guarantee absolute security. In the event of a data breach, we will notify affected users and authorities as required by law.

Trips2Africa may update this Privacy Policy from time to time to reflect changes in our practices or legal requirements. When we make material changes, we will revise the “Effective Date” at the top and, if appropriate, notify you (for example, by email or via a notice on our website). Your continued use of Trips2Africa’s services after the policy is updated will indicate your acceptance of the new terms. We encourage you to review this policy periodically for any updates.
